Rolling Out Of Enterprise Document Digitization Platform Capability
One of the BIG 4 banks of Australia was facing challenges from aging document management systems, resulting in significant outcomes including cost savings and an end-to-end document process with traceability.
Challenges
- Ageing and complex landscape grown over time – multiple document management, generation and imaging capabilities in the bank
- 1500+ communication templates, six billion documents in disparate systems and multiple print vendors
- Tight integration with legacy systems, increasing total cost of ownership and cost of change
- Critical technology risks relating to out of support, ageing infrastructure
Approach
- Discovery analysis to understand as-is state and define the business process maps for the target state
- Define target state architecture for the platforms aligning to “API first” and “Cloud native“
- Defined “Industrialisation” capabilities working very closely with the Product Owners of each of the platform
- Market scan, industry references , RFP of products
- Implementation of target state platform using bank's public AWS cloud
- Defined migration and decommissioning strategy for each of the capabilities
Goals
- Enterprise level best-in-class platforms
- Microservices driven architecture
- Build enterprise services for reusability / orchestration
- Cloud first strategy
- Migration of all documents to central repository
- Consolidate multiple document management system to target state
- Multi cloud enabled architecture for “Core System of Record”
- Transitioning of IP in-house
- Build it-Run It service model
Result
- 50+ to 6 rationalised apps
- 75 to 5 reusable capabilities
- 10+ to 1 centralised support team
- 14 to 4 consolidation of print vendors
- End to end capability from document generation, distribution to archival
- Multi brand, multi entity capabilities
- Completion of document migration from external vendors and from multiple document archival systems to single target state Doc Management repo.
- Reducing the support team and print vendors resulting in significant savings annually
